Your email signature is part of the University of Florida brand. Keep it professional, clear, and consistent. Include only the required information, with approved fonts and colors, so every message reflects UF’s standards.

Email Signature Generator

To generate your UF-branded email signature, please use the email signature generator below. Once your signature has been generated:

  1. Open Microsoft Outlook and go to the Signature settings. Here are steps to see those settings on a PC and a Mac.
  2. Click Edit and clear current signature.
  3. Generate an email signature by filling in the fields below.
  4. Click “Copy to clipboard” to copy your signature
  5. Paste your signature into the Outlook signature box.
  6. Click save, then close signature box.

Specifications

  • Font: Segoe UI
  • Size: 10pt
  • Colors: Orange (#DA3510 or RGB 218, 53, 16 – orange tweaked for email signature only to be in compliance with EITCA policy) and
  • Blue (#0021A5 or RGB 0, 33, 165). Enter these values manually rather than selecting from default palettes.

Best Practices

  • Your ufl.edu email account belongs to the University of Florida; therefore, your email signature should represent UF, not individual, viewpoints. Do not add personal quotes or statements.
  • Information in the email signature block is limited to contact information that pertains to your role at UF and including any University Business related notice or disclaimer authorized by a unit leader. 
  • Include a physical address only if your role requires it.
  • Use the primary phone number where you can be reached.
  • The UF monogram (white UF in orange block) is the only approved logo for email signatures (this does not apply to UF Health or UF/IFAS).
  • Do not use extra graphics such as social media icons—these can display as attachments or be blocked by email clients.
  • Limit the number of URLs to three. All links should pertain to the user’s role at the university. Links to personal websites are not acceptable.

Disclaimer

If you are using Outlook’s accessibility checker, please note that if you run the checker twice consecutively, Outlook will add a gray background behind the signature and report a color contrast error. This error is being generated by the gray background added by Outlook. See example below:
